Turn Your Reminders App into a Project Managment Tool
Ask anyone running a small business or team what the essential element is, and it very well could be communication and project management. Managing a team and keeping every member and every task in order is no easy task. There is a handful of productivity apps on the market aimed at doing this very thing. Everything from Monday, Asana, ClickUp, Trello, Basecamp, and Notion. Management and collaboration is the name of the game to running a successful team. With Apple Notes, you can now collaborate very quickly within a group from your computer, iPad, and iPhone. It becomes a dedicated whiteboard everywhere you go, built right into all your devices for on-the-go collaboration (Read more about that here).
After a team meeting and collaborative whiteboard session, it is now time to get things done. That means assigning tasks to your team with deadlines, priorities, and subtasks for a given project. You can indeed build lists and tag people within your shared note, but another application built right into your iPhone does this even better. It's called Reminders. You might have used it for household reminders and shopping lists.
List for Every Project
The Reminders application is a simple user interface that can pack a punch if used to its full potential. Reminders is not just for making simple lists anymore, but adding details, links, and subtasks into each one, not to mention so much more. The ability to create multiple lists is also convenient when it comes to handling numerous teams or projects. You can now share a list with different team members depending on their work projects. When shared, it gives you the ability to assign members to each task. It also provides a separate view of "shared with me" when they are added to a shared list—only showing the tasks they need to accomplish.
Details, Details, Details
Nobody likes a task assigned to them when there is little to no information or description of what is happening. When you create a task to delegate to someone, you can now add a variety of information. Some of this information includes but is not limited to descriptions, links, and images to help get the job done. All of this and more will give your team members enough information to get the job and done and submit final drafts via a new QA task assigned to a manager or a linked drive within the task. However, there is no server-side delivery system. You can easily connect to one using the URL field and again share via iMessage, which now includes mentions and inline replies in group chats so you can have constant communication with your team.
Enhance Your Personal Life Too
Reminders aren't just for project management and business. These can still be used for household chores and grocery shopping. You can share a list and assign specific items to certain people to divide and conquer during your next trip to the grocery store. Avoid having to push that heavy cart around the entire store and get things done quickly and easily and return home. Reminders also work seamlessly with Siri to use voice to add items to a shopping list. Once the list is complete, you can use Siri to share that list with a family member to pick up a few things on their way home from work or school. Just say, "Hey Siri, Share List."
So the next time you're browsing the App Store for the next great productivity app, remember the hidden features that are already on your phone and work together with their existing ecosystem. When used together, notes, reminders, and iMessage can enhance your communication and management of your projects, teams, and households.
